These Terms and Conditions (“Terms”) govern your use of the vanrajretreat.com website and any booking or stay made with Vanraj Retreat LLP (“Company”), including at Sylvaara Retreat, Ramnagar. By accessing the Website, making an enquiry, or confirming a stay, you agree to these Terms. These Terms are to be read along with our Privacy Policy.
1. Bookings & Confirmations
All stays at Sylvaara Retreat are booked by enquiry through this Website, by phone, or by WhatsApp. A booking is confirmed only once the advance payment communicated by our reservations team is received, or once our team confirms your stay in writing. Estimated totals shown on the Website are indicative and include applicable taxes unless stated otherwise. The final quote is confirmed by our concierge before payment.
2. Check-in & Check-out
Check-in is from 12:00 PM and check-out is by 11:00 AM. Early check-in and late check-out are available on request, subject to availability. A valid government photo ID is required for every guest at check-in.
3. Occupancy & Guests
Each room accommodates up to 2 guests, not including infants under 2 years. The number of guests, children, infants and pets declared at the time of booking must match the party that arrives; the Company reserves the right to refuse or re-price stays where the arriving party exceeds the declared occupancy.
4. Cancellation & Date Changes
Cancellations made 7 or more days before check-in receive a full refund. Cancellations made 3 to 6 days before check-in receive a 50% refund. Within 72 hours of check-in, the stay is non-refundable. Date changes are free once, up to 7 days before arrival. Refunds are processed to the original payment method within 7-10 working days.
5. Pets
Pets are welcome on prior request only. Guests must declare pets at the time of booking and are responsible for their pet's conduct and any damage caused.
6. Guest Conduct & Property Rules
Quiet hours run from 10:00 PM to 7:00 AM — the forest sleeps early. Smoking is not permitted indoors; the bonfire deck is available for outdoor use. Guests are liable for any damage to the property, its fittings or its grounds caused during their stay. The Company reserves the right to terminate a stay without refund in cases of unlawful activity or serious misconduct.
7. Experiences & Third-Party Services
Experiences such as jungle safaris, river adventures and candlelight dining are subject to availability, weather and forest department regulations. Some experiences are operated by third parties; the Company acts as a facilitator and is not liable for third-party service interruptions.
8. Liability
The Company takes reasonable care for guest safety but cannot accept liability for loss, injury or damage arising from events beyond its control, including wildlife activity, weather, power interruptions or natural conditions inherent to a forest estate. Guests use pools, trails and outdoor areas at their own risk; children must be supervised at all times.
9. Force Majeure
The Company shall not be liable for failure to perform its obligations where such failure results from events beyond its reasonable control, including natural disasters, epidemics, government orders, or forest department closures. In such cases, the Company will offer a date change or refund at its discretion.
10. Intellectual Property
All content on this Website — text, photographs, logos and design — is the property of the Company or its licensors and may not be reproduced without written permission.
11. Governing Law & Jurisdiction
These Terms are governed by the laws of India. Any disputes shall be subject to the exclusive jurisdiction of the courts of Uttarakhand.
